The New and Improved Google Drive

If you’ve ever experienced issues with sharing documents, not being able to access documents from a remote location, or connecting to videoconferences Google Drive has new solutions for you! With a re-vamped G Suite and updated Google Hangouts all of these actions will be effortless.

Instead of having everyone connect through his or her separate Google accounts there is now Team Drive. This allows for shared access to a drive that contains all of your company’s information while also keeping it safe. Migrate your documents (using AppBridge) from your current server or content management program while sustaining your file permissions. The Team Drive system lets you give new team members instant access to the drive and takes some of the stress out of having people leave since all of their documents will still be accessible to you. Team admins can control permissions for sharing permissions such as editing, commenting, reorganizing and deleting.

The Vault

Another interesting upgrade to the G Suite is Google Vault. This mainly applies to admins as it gives them “the governance controls they need to manage and secure all their files, both in employee Drives as well as in Team Drives.” It also includes helpful tools such as search and export for finding exactly what you need and making specific files available for use offline. The Drive File Stream feature allows you to stream files directly from the cloud onto a computer without actually having to download anything. This means that edits are being made in real time to everyone’s version of the doc and you don’t have to waste storage on your device!

Then there is Quick Access. It does exactly what you think it does: give you access to the Team Google Drive anywhere at any time. But it does so much more than that. It predicts and surfaces files you might need based on who you frequently share them with, when relevant meetings occur, what files are used at certain times throughout the day and more. The goal of the new Team Drive system is to allow your company to successfully maintain control while also keeping your data secure.

More Than Just Docs

When it comes to communication Google stepped up in a big way. They thought about what would be most beneficial for users and that’s how they came up with Hangouts Meet and Hangouts Chat. Hangouts Meet is the videoconferencing side of things. Join meetings with ease using a shared link from an email or calendar event. To allow remote workers or people who do not have access to Wi-Fi or data at the time to join there is also a designated dial-in number. Even though you might all be in different places, its purpose is to allow you to be just as productive as you would be if you were meeting face-to-face. Team members can easily show their projects with the group and grab documents from the Team Drive.

Hangouts Chat is the best option for inter-office communication. This application takes direct messages and turns them into threaded conversations that exist as virtual rooms. Once again you can easily pull documents from the Drive, search through the conversation and even view photos and videos directly in the conversations. However, the coolest feature has to be @chat. This is an intelligent bot that will learn to schedule meetings for your team with Hangouts and Google Calendar automatically.
